Voice2Phone Outbound Calling System allows you to organize and execute phone campaigns. Using our system is simple and requires minimal training.
To use the Voice2Phone Outbound Calling System, you need to create an account at our web site. On the registration page, you will need to provide your name, company, password, email address, and phone number. Payment information is not required. After you submit the registration form, go to your email inbox. You should receive a verification email that will direct you to a login page for the Voice2Phone system. Login within your email address and password, and you will be redirected to the 'Campaigns' page.
On the 'Campaigns' page, click a blue button near the middle of the screen that states 'Create New Campaign'. This button will allow you to name a new campaign. After you have named your campaign, you will be directed to a contact spreadsheet.
This spreadsheet is for creating a list of contacts. You can import an existing document from CSV format,
or you can type new contacts manually. At least, one column in this spreadsheet will be used for phone numbers. The following columns can be used for last names, first names, and other information. After you have completed your contact list, click on the green 'next' button at the top of the page. This will direct you to the 'Message' page.
The Outbound Calling System has two options for delivering messages to people from your contact list. The first option is a text-to-speech method. To use this option, select 'Text-To-Speech' from the box labelled as 'Message Type'. After this, type your message into the text box. This method allows you to use tags from your spreadsheet to greet people by their names. This can also be useful for delivering data that is unique to each contact.
Here is a brief summary of this tagging feature:
If you would prefer to deliver a generic voice message, you can record your own message by uploading a WAV audio file to the Voice2Phone system. If you choose this option, be sure to select 'WAV File' from the 'Message Type' box. This method is ideal for generic messages that do not require unique data for each contact. Click on the green 'next' button at the top of the page to proceed to the next step.
You can allow your contact to interact with you by creating response options that are tethered to a touch-key on a phone. To create these response options, click on the 'edit' button to the right of the key that you are interested in.
The three standard response options are:
|Play message||Allows to play a specific message if a touch-key is pressed|
|Record voice response||Allows the contact to reply to you with their own voice message|
|Transfer the call to the particular number||Allow the contact to reach you or a representative of your company|
The scheduling page has two boxes at the top of the page. In the first box that is labelled as 'start calling date', select the date when you would like your campaign to begin. The last day of your campaign should be selected in the box labelled as 'stop calling date'. The options below these two boxes will allow you to select a range for calling times.
The last option on the scheduling page allows you to select the days of the week that you would like to conduct your calling campaign. After you have completed this step, click on the green 'next' box at the top of the page.
Click on the green 'start' button. This will launch your automated phone campaign.
